Find Records with Missing Information

The Data Hygiene section helps you identify contact and company records that are missing important information.

Review the affected records, see exactly which fields are incomplete and, where available, use Apollo enrichment to find missing data.

Contacts and companies

Choose Which Records to Review

The Data Hygiene menu contains separate sections for Contacts and Companies. Select the relevant section to review records with missing information.

What does a red number mean?

A number displayed in red indicates that the section contains records with missing information. The number shows how many records currently require review.

Contacts

Missing Contact Information

EazyMatch AI checks contact or person records for the following missing fields:

  • First name
  • Last name
  • Job title
  • Mobile number
  • Email address
  • LinkedIn URL
Companies

Missing Company Information

EazyMatch AI checks company or organisation records for the following missing fields:

  • Company name
  • Domain or website
  • LinkedIn URL
  • Industry
  • Annual revenue
  • Number of employees
  • Full address
Missing and inconsistent job titles are reviewed separately

The Contacts section identifies records where the job title is missing. To improve existing job titles and add seniority and business function, use the separate Job Title Standardisation feature.

See Exactly What Is Missing

Within the Contacts and Companies sections, you can view the affected records and see a summary showing exactly which information is missing from each record.

This allows you to understand why a record has been flagged without opening and checking every field individually in your CRM.

Search and filters

Find the Records That Need Attention

Use the available search and filter options to narrow the list and focus on particular records or missing fields.

Search by Name

Search for a specific contact or company name to find and review an individual CRM record.

Filter by Missing Field

Filter contacts by missing fields such as email address or mobile number, and companies by fields such as industry or LinkedIn URL.

Apollo enrichment

Find and Apply Missing Data

If your workspace is connected to Apollo, you can use enrichment to search for eligible missing contact and company information from the Data Hygiene section.

  1. Find an incomplete record Open Contacts or Companies and locate a record with missing information.
  2. Run enrichment Use Apollo to search for available information for eligible blank fields.
  3. Review the suggestion Check the information returned by Apollo before making changes to your CRM.
  4. Apply the update Approve the suggested information to update the corresponding CRM record.
Your existing information is protected

Apollo enrichment suggests information for eligible blank fields. Existing populated CRM fields are not automatically overwritten.

Every suggested update can be reviewed before it is applied to your CRM.

Keeping results accurate

Check Your Field Mappings

EazyMatch AI identifies missing information using the fields configured during setup. If a CRM field has been mapped incorrectly, a populated record may appear to be missing information.

Pipedrive users should review their field mappings from the Admin Panel if the Data Hygiene results do not reflect the information held in their CRM.
