Keep Your CRM Tasks Organised
Task Manager helps you monitor open sales tasks from HubSpot or Pipedrive, identify duplicated follow-up activity and prevent incomplete tasks from being forgotten.
You can run a separate task scan, review the results by category, monitor activity coverage and automatically reschedule eligible incomplete tasks.

Refresh Your Task Data Separately
Task Manager analyses activities from your connected HubSpot or Pipedrive account separately from the main contact and company data synchronisation.
Select Run Task Scan to refresh your task results without synchronising and reanalysing all of your contact and company records.
Running a task scan refreshes the activities shown in Task Manager. It does not run the full contact and company synchronisation again.

Choose Which Tasks to Review
The Task Manager dashboard organises your activities into categories. Select any statistic to open the corresponding drill-down view and review the underlying tasks.
Open Tasks
View all activities that are currently open in your connected CRM.
Overdue Tasks
Review open tasks where the scheduled due date has already passed.
Stale Open Tasks
Find open tasks that are overdue by more than seven days and may require immediate review.
Tasks with No Contact
Identify open tasks that are not attached to a contact. These are often useful candidates for data clean-up.
Contacts with Duplicate Open Tasks
Find contacts who currently have more than one open task attached to their record.
The Task Manager home page provides a summary. Detailed review and clean-up take place within the individual drill-down views.
Duplicate follow-up
Reduce Task Overlap
Multiple open tasks for the same contact can result in duplicated effort or unnecessary follow-up.
Use the Contacts with Duplicate Open Tasks view to identify these records and decide which tasks should remain open.
Find Duplicate Activity
See which contacts have more than one open task attached to their CRM record.
Coordinate Follow-Up
Review overlapping tasks so your team can avoid unnecessary or repeated contact.

Set Your Sales Task Target
Set a target for the number of sales tasks that should be scheduled for each sales representative.
The target gives your team a consistent benchmark for planned follow-up activity and supports the coverage figures shown on the Task Manager dashboard.
Rep coverage
Monitor Weekly Activity Coverage
The Rep Coverage Snapshot provides a weekly overview of planned call activity across your sales team.
The date range updates for the current week. The main dashboard remains summary-only, with detailed review taking place in the relevant drill-down views.
The number of CRM task owners included in the current results.
The number of open call tasks included in the weekly coverage view.
The number of task owners whose scheduled call activity is below the configured weekly target.
Task automation
Automatically Reschedule Incomplete Tasks
Task Reschedule Automation helps prevent unfinished sales tasks from being forgotten. It reviews open tasks from the previous day and moves eligible incomplete tasks to the next working day.
This feature is available for tasks synchronised from both HubSpot and Pipedrive.
- Enable Task Reschedule Automation Turn on the automation for your connected CRM workspace.
- Set a rescheduling limit Choose the maximum number of times the same incomplete task can be automatically moved.
- Let EazyMatch AI review incomplete tasks Open tasks from the previous day are checked and moved to the next working day when they meet your automation rules.
- Review tasks that reach the limit Once a task reaches the maximum number of automatic reschedules, it will no longer be moved forward automatically and should be reviewed manually.
The rescheduling limit prevents the same incomplete task from being repeatedly pushed forward without action.
Choose a limit that gives your team enough time to complete its follow-up while ensuring older tasks are still reviewed manually.
Managing your settings
Review Your Task Rules Regularly
Review your sales task target and automatic rescheduling limit whenever your sales process or activity expectations change.
The appropriate settings will depend on the size of your team, your volume of follow-up activity and how quickly tasks should normally be completed.
