CRM JOB TITLE STANDARDISATION

Standardise Your CRM Job Titles
Turn inconsistent CRM job titles into clear, standardised roles with seniority and business function, improving ICP matching, segmentation, reporting and outreach.

Consistent CRM data

Turn Inconsistent Job Titles into Structured Data

Job Title Normalisation turns different versions of the same role into consistent job-title data that is easier to use across your CRM.

EazyMatch AI also identifies the seniority and business function associated with each title, providing more useful information for ICP matching, segmentation, reporting and outreach.

How it works

Processed After Your CRM Sync

Job titles found in your CRM are processed after your data has been synchronised with EazyMatch AI. You do not need to submit each title individually.

EazyMatch AI reviews the unique job titles in your CRM cache and saves an AI-generated normalisation for each processed title.

Your original CRM title is retained

Normalisation creates structured job-title information for use within EazyMatch AI. Your existing CRM data is not changed unless you choose to synchronise selected fields back to your CRM.

Structured outputs

What EazyMatch AI Adds

Each processed CRM job title can produce three structured values:

Normalised title

Consistent Role Name

Converts variations of the same role into a clearer and more consistent job title.

Seniority

Level of Responsibility

Identifies the seniority associated with the role, helping you group contacts by decision-making level.

Function

Business Area

Identifies the business function associated with the role, such as Sales, Marketing, Finance or Operations.

Why normalise?

Use Cleaner Titles Across Your CRM Processes

Simplify ICP Setup

Reduce the number of spelling differences, abbreviations and title variations you need to review when defining your target contacts.

Improve Segmentation

Build more reliable contact lists using consistent titles, seniority levels and business functions.

Improve Reporting

Group contacts consistently instead of reporting separately on multiple versions of the same role.

Personalise Outreach

Use structured job-title data to create more relevant email campaigns, workflows and sales activity.

Review and corrections

Review Your Normalised Titles

The Normalisation Table shows your original CRM titles alongside the saved normalised title, business function, seniority and status.

Use the filters to switch between all titles, normalised titles and titles that are still waiting for normalisation.

Select Generate AI Suggestions for This Page to generate suggestions for titles shown on the current page. You can also select Open Summary View to review the consolidated results.

Select Edit to manually change the normalised title, function or seniority for an individual row.

Manual corrections take priority

Your manual corrections are used before saved AI normalisations. This allows you to retain control when a title needs a different interpretation.

Use the row-level Reset option when you want to remove a manual correction and restore the previous result.

CRM write-back

Send Normalised Job Title Data to HubSpot or Pipedrive

When you are ready, you can send selected job-title values back to your connected HubSpot or Pipedrive account.

You can synchronise only the normalised job title or also include seniority and function when you want richer CRM data for reporting, segmentation, workflows and outreach.

Create the Required CRM Fields

Before connecting CRM write-back, create fields for the normalised title, seniority and function in your connected CRM.

HubSpot

HubSpot Contact Properties

Create the contact properties using the exact internal names shown below. EazyMatch AI uses these internal names to connect the corresponding properties.

Pipedrive

Pipedrive Person Fields

Create corresponding custom person fields in Pipedrive, then select those fields when configuring CRM write-back in EazyMatch AI.

Value HubSpot internal name Suggested Pipedrive field name
Normalised title normalized_job_title Normalised Job Title
Seniority job_title_seniority Job Title Seniority
Function job_title_function Job Title Function
Keep the HubSpot internal names unchanged

The HubSpot internal property name normalized_job_title must retain its original spelling with a “z”. This is a technical field name used by the integration.

  1. Create the CRM fields Create the required contact properties in HubSpot or custom person fields in Pipedrive.
  2. Select the values you want to use Tick Normalised Title, Seniority and/or Function depending on which values you want to send to your CRM.
